2.4. Import / Export

Importing Data

The preferred method to input user and phone data is by importing both of it from a combined file.
This is much faster than inputting data for each user and configuring phones for each.

Importing/Export options are accessible through the SYSTEM menu, in Import/Export option:

You should, however, set up user groups and phone groups beforehand, and assign all proper settings to them before you import user and phone data.

The recommended sequence of actions is:

1. Create branches
2. Create user groups
3. Edit settings for the user groups as needed
4. Create phone groups
5. Edit settings for phone groups as needed.
6. Prepare a file in Excel containing the appropriate user and phone data.
7. Save this file in CSV (comma-delimited) format.
8. Import user and phone data from this file.

An easy way to create a template file with the proper columns is to use the Export option (see below). The help text on this option is a bit misleading as it does not list all necessary columns.

After importing a data file, you can monitor the progress of the import using the Job Status option (DIAGNOSTICS menu > Job Status). This shows any failed jobs, and also shows completed jobs.

Exporting Data

A good way to keep a backup of user and phone settings is to export that data from time to time.

This works from the same menu option – SYSTEM > Import / Export. Select Export tab, then click the Export Now option.

You can use this file to re-import the user and phone configuration if required for some reason.
